As a member of the Health Initiatives team, this position provides programmatic and administrative support to the Poverty and Child Health, Early Brain and Child Development, and Quality of Care and Child Safety priority areas and projects


  • Receives and handles phone calls, emails and faxes for Medical Service Project referrals.
  • Processes and records medical referrals while screening for program fit and funding availability.
  • Provides program and referral process training to program referral sites.
  • Provides on-going quality monitoring of requests and all documentation following HIPAA regulations.
  • Assists with recruitment of new referral sites as needed.
  • Performs clerical support through data entry into database records, file preparation and maintenance, and other record keeping activities.
  • Coordinates training and education courses for pediatric professionals, including logistical scheduling, processing payments, and handling participant requests.
  • Provides project support for individual online and in-person trainings, conferences, and seminars.
  • Responsible for maintaining grant compliance including generating grantor reports.
  • Provides general administrative support to the Health Initiatives team as needed.
  • Responsible for actively participating in and promoting AzAAP Health Initiatives within all AzAAP community and fundraising events and projects, including but not limited to Speak Up for Kids and third-party events.

Supervisory opportunity available for a caring professional that wants to further develop their skills and knowledge in healthcare, while making a difference in patients lives and building a quality environment for the office staff. This full-time medical office career opportunity has a Monday – Friday day shift schedule 8:30 AM - 5:30 PM, and is located at our outpatient practice in Queen Creek, AZ.

As the Office Manager you will be responsible for managing all aspects of the day to day operations of the practice. Work together as a team with the Medical Director and Business Director.

The Office Manager will be responsible for:

Providing regular department and program specific reports for finance and administration.

Participating in maintaining financial stability by controlling operating expenses and monitoring revenue generation

Scheduling, coordinating, and facilitating regular staff meetings.

Providing recommendations and/or suggestions on modifications that may improve utilization, patient satisfaction or care coordination.

The Office Manager will:

Supervise and supports all staff, including providing orientation, training, and guidance.

Ensure that all office areas are adequately staffed to provide service and acts as a backup when necessary.

Select, train, counsel and terminating support staff in collaboration with Medical Director.

Present timely performance evaluations.

Monitor and approve support staff timecards; ensures staff’s compliance with attendance and punctuality guidelines.

Monitor and coordinate physician/provider time off in consultation with the Medical Director.

Determine and change work assignments as needed.

Investigate and resolve physician or patient complaints, maintains the necessary documentation and alerts the appropriate person with minimal delay.

Develops best practice protocols and workflows to maintain standards of care and maintain compliance with all regulatory requirements.

Responsible for consistently exhibiting polite, courteous and professional behaviors by adhering to Customer Service Standards and Standards of Behavior.

Educational, Experience Requirements:

The ideal candidate will have strong financial and day-to-day operational experience. The successful candidate must have excellent interpersonal skills, and be a team player with physicians and staff. Strong financial and strategic experience is a must for this position. The candidate should also have strong personal and organizational development skills.

  • At least 3+ years prior experience as an office manager with a medical practice of more than 3+ physicians and preferably multiple locations. Ability to work cooperatively with physicians.
  • Bachelor’s Degree, preferred.
  • Financial experience in healthcare fiscal management.
  • Familiarity with EMR highly desirable.

Other duties as assigned that are reasonably associated with the essential functions of the operations of the medical practice.
